Routines Guide

Automate your Kanban board with highly customizable scheduling rules. The Routines feature allows you to generate recurring tasks automatically, ensuring you never forget a daily habit, weekly meeting, or monthly deadline. Routines can be configured to fit any productivity workflow:

  • Specific Weekdays: Select any combination of days, like every Monday, Wednesday, and Friday. Perfect for scheduling daily stand-ups or gym workouts.
  • Monthly Dates: Run on a specific date (e.g., the 15th) for consistent billing, rent payments, or monthly reporting deadlines. If a month lacks that date (like Feb 31st), it safely defaults to the last day of the month.
  • Last Day of the Month: Automatically triggers on the final day, whether the month has 28, 29, 30, or 31 days. Ideal for end-of-month financial reviews.
  • First Specific Weekday: Trigger on the first occurrence of a day, such as the "First Monday" of every month.
  • Custom Intervals: Create rolling schedules like "Every 3 days" or "Every 2 weeks" for repeating chores, maintenance, or sprint planning.

Available Variables

Make your automated tasks smarter by injecting the exact date and time. Instead of manually updating task titles every time a routine runs, you can use dynamic variables. Simply wrap any of the variables below in brackets, and KanbanTab will convert them the exact moment your routine generates the new card on your board.

Variable Output Example Description
{{date}}Nov 14Short month and numeric day.
{{date_short}}11/14/2024Locale-specific short date format.
{{yyyy-mm-dd}}2024-11-14ISO standard date format.

{{weekday_short}}ThuThree-letter abbreviation of the weekday.
{{month}}NovemberFull name of the month.

{{week_number}}46ISO week number of the year.
{{quarter}}Q4Current quarter of the year.
{{time}}09:00 AMCurrent time in your selected format.

Math Offsets

You can easily shift dates and times forward or backward using math offsets directly in your card's title or notes. Just add a plus or minus and a number (like +1 or -3) inside any variable. For dates, the offset is calculated in days. For time variables, it calculates in minutes.
