Data & Sync

KanbanTab is built on a modern local-first architecture. This means your data lives on your device first, allowing KanbanTab to load instantly and work completely offline, while quietly syncing to the cloud in the background if signed in.

Offline Capabilities

Because of our local-first design, KanbanTab works flawlessly without an internet connection. If you lose connection on a flight or in a dead zone, you can continue using KanbanTab like usual. The moment your device reconnects to the internet, KanbanTab will automatically push your changes to the cloud and your other devices.

Guest Mode vs. Registered Account

KanbanTab operates in two distinct modes. Here is a breakdown of how your data is handled depending on whether you are logged in or just using the app as a guest:

  • Local only: Your boards are saved exclusively to your current device's memory.
  • Absolute privacy: Your data never touches our servers. We have zero access to it.
  • Data loss risk: If you clear your browser cache, uninstall the app, or lose your device, your data is permanently gone.
Registered Account

  • Cloud backups: Your boards are securely backed up to our servers automatically.
  • Works everywhere: Create a card on your computer and it instantly syncs to your phone.
  • Easy recovery: If you buy a new device, simply log in and all your boards will appear instantly.

Backups & Recovery

Even though your data is synced automatically when you're signed in, KanbanTab provides manual tools to help you manage your data.

Manual JSON Exports

You can download a complete offline copy of your entire workspace at any time. Go to Settings > Accounts > Advanced and click Export. This will download a JSON file containing all your boards, routines, and tasks. You can use the Import tool to merge this data back into any KanbanTab account.

Recovery Snapshots

To prevent accidental data loss, KanbanTab automatically creates temporary, local Recovery Snapshots of your workspace right before major events—like merging a large imported file or enabling End-to-End Encryption. If something goes wrong, you can download a recent snapshot from Settings > Accounts > Advanced and restore it using the Import tool.

Note: Snapshots are stored strictly on your current device and are permanently deleted if you log out for security reasons.
